Using Printers to Scan

** Any PDFs of documents/books scanned on McConnell Library printers can ONLY be sent to RU email addresses. They can’t be printed while scanning, nor sent to non-RU email addresses.**

On the front panel

  • Click the "scan to" button.
  • Click the "email" button.
  • Type the desired RU email.
  • Click enter.
  • If you want to add a subject and/or list your email address as the one that is sending the PDF, scroll down to the “Email Features menu” (The default lists the sender email as copier@radford.edu and the subject line as “Xerox Scan").

Select either the top feeder or scanner bed options for your scan:

Using top feeder (loose 8.5 X 11 paper sheets):

Put the document in the top feeder tray.

  • If you are only scanning one side (Default setting is one-sided), make sure your document is facing up, and the machine will scan the top side of the page.
  • The top edge of the sheet should go into the machine first, in the same direction the arrow on the feeder is pointing.
  • If you want to scan both sides of the document, go to the “Common Features” menu and scroll down to the 2-sided scanning menu option. Click on it to access menu options and select 2-sided. This should change the display on the right side so it indicates 2-sided instead of 1-sided.
  • Click the blue “Scan” button at the top right of the panel.

Using scanner bed (books, notebooks, print journals):

  • Select the original orientation (Portrait or Landscape) that you want in the “Common Features” menu.
  • Place your item on the scanner:
    • Portrait – align the top right corner of your document with the green arrow on the scanner bed.
    • Landscape – align the top left corner of your document with the green arrow on the scanner bed.
  • Click the blue “scan button” in the upper right corner of the front panel.
  • The scanner's camera goes over the document twice; do not move the document until after the second time.
  • The scanner defaults to double-sided scans. If you are done after one page, select “Done.”
  • If you are scanning more than one page into a single PDF, after the first page is scanned, put the second in its place and click “add page.” Repeat until all pages are done. Select “Done,” when you are finished.

Troubleshooting: Message “Original not detected:"

  • Select 8.5 X 11 option.
  • If you are scanning an 8.5 X 11 document, make sure the document is aligned with the green arrow.

Scan to preview:

  • Allows you to preview what your scan will look like before scanning the whole document, which is particularly useful as you will need to open email to make sure the scanned document looks the way that you want.
  • In the Common Features menu, click on preview menu and move the slider to the right.  A black checkmark should appear and the preview button appears in the upper right of the panel where the scan button usually displays
  • If you like the preview, it will scan a single document.

Recommendation: If you sent it to your own email, open the document to double-check that it went through correctly.
